JOB DESCRIPTION
Overview:
The Office Manager is the engine room of Goldfinger: a central role that combines day-to-day management of the core operational functions of the organisation with the sound delivery of our social mission. This fast-paced, varied role is a unique opportunity for a strategic and compassionate individual to have a huge social
impact, alongside overseeing our small but mighty team of ten.
Operational responsibilities include: office, finance and HR management, HSSE and legal compliance, risk management and first point of contact for all customers, clients and
general enquiries.

Community responsibilities include: fundraising, partnership building and overseeing the coordination and delivery of the learning, community and volunteer-led programmes.

Reports to: CEO

Direct reports: Finance Controller, consultants i.e. Accountant, Fundraising, HR, Legal

Working pattern: Full-time, flexible working considered

Salary: £30-35k FTE, depending on experience

Location: Flexible- Remote and shop-office based (min. 1-2 days a week in the office)

Roles and Responsibilities

Finance and Governance

  • Some financial management experience including preparation of reports and budgets, cashflow management
  • Streamlining financial processes across our software (Xero, Shopify and Podio)
  • Creating and managing project budgets
  • Risk management including assurance of HSSE and legal compliance

Office and Operations Management

  • Facilities management
  • Operations management of co-working office and woodwork workshop
  • Cross-departmental communication and coordination
  • Management of all incoming enquiries across phone, email, and in person when working in the showroom
  • Team meeting management including creating agendas and circulating minutes
  • Ad-hoc support to the CEO
  • Ad-hoc event and showroom support

HR Management

  • Recruitment, onboarding, contracting and inducting
  • Managing confidential staff data
  • 1:1 line management
  • Team training as required
  • Professional development coordination including managing ‘Lockdown Learning’,
  • our online team workshop programme
  • Team culture management and wellbeing support
  • Coordinating socials, birthdays and extra curricular opportunities.

Business Development and Fundraising

  • Seeking fundraising and development opportunities
  • Report writing
  • Stakeholder liaison
  • Strategic support including management of Advisory Group meetings and weekly
  • management meeting

Person specification

Essential

  • ● High-level office management experience
  • HR and line management experience
  • Proven analytical, numerical and IT skills
  • Attention to detail
  • Excellent written and verbal communication skills
  • Ability to connect with multiple staff, stakeholders and beneficiaries
  • Ability to manage a varied work-load with competing priorities

Desirable

  • Experience of financial management
  • Experience of working in the design industry
